How much notice is needed for approval of telehealth individual sessions?

Email Janelle or Juli for emergency situations.

 

Are psychiatric services covered under telehealth?

Yes, they are covered under telehealth with extenuating circumstances approved by probation office in advance.

 

How should telehealth be documented on the monthly treatment reports and sign in logs?

You can note on the sign in log that the service was provided by telehealth due to… (the reason)

If our agency is licensed with OASIS and we can provide a service listed on the contract, do we have to subcontract?  No, your agency would only be required to subcontract if your agency does not offer the treatment service that is requested.

 

If people are on Medicare, would U.S. Probation be the payee?  Yes

 

If someone goes to inpatient for treatment, do we keep the treatment contact open?  This is up to the officer.  It will depend on how long the individual is in inpatient.

 

Regarding previous submissions, do you want the statement of work included in the submission for contracted services?  No, you do not need to include the state of work.

 

What is the volume of referrals like?  It depends on the service.  Estimated monthly quantities of services are listed next to each service on the treatment solicitation. 

 

For new vendors, will there be any referrals coming over from the former treatment vendor?  Yes, if a new vendor is awarded the federal contract, then all cases from the previous vendor will need to be transferred over no later than September 30, 2024.

 

Are there people on federal supervision who are being serviced by non-contracted agencies?   Yes.  This can be based on where they live. They might not live near one of our contracted agencies and it is more advantageous for them to attend a treatment agency in their area.  An individual could also already be receiving services through the VA or another agency that they have been connected with prior to their federal crime/conviction.

 

Additional Questions asked/answered during the allotted submission timeframe:

 

In the background disclosure (attachment b) section c and d it says that we must maintain compliance with operating certificates and fire codes.  Previously we had to provide copies but is that required?  No, you are attesting to the fact that you are in compliance with operating certificates and fire codes.

 

For the application, do you need ALL staff with their services, education, experience, and credentials or just the clinical staff?  Just staff that will be working directly with federal probation referrals.

 

The co-pays referred to in the RFP are pertaining to co-pays that are set by USPO, are we to assume this is for clients being referred that have no insurance?  This refers to co-pays sent by USPO, if the USPO advises they want the client to pay a co-pay, which is $5 for each individual or group session and $20 for polygraphs.  This would be indicated on the initial referral/contract.

WE CAN ALSO WAIVE CO-PAYS ON REFERRALS WOULD BE REFLECTED ON THE CONTRACT.

 

There is a requirement to submit auditing and monitoring reports. Are looking for those auditing monitoring reports that relate to our substance use treatment program or are you looking for auditing monitoring reports that relate to the entire Organization?  Reports related to the services that your agency is bidding on
